When attendees submit a badge through our badge submission feature, we collect the following data in order to produce their physical event badge:
- Fursona name (nickname), sourced from your Checkin.no registration
- Volunteer team or role (staff attendees only)
- Spoken languages (up to three)
- Ticket type (affects badge design)
- Badge image (a drawing or fursuit image — not a photo of a real person), uploaded by the attendee
- Submission timestamp and order reference ID
No real names or email addresses are stored as part of the badge submission, only your fursona name (a pseudonym), an order reference ID, your stated preferences, and your uploaded badge image.
2. How We Use Your Personal Data
The personal data submitted through the Contact Us form is used solely for responding to inquiries. The data is forwarded to our internal email account and is only accessible to volunteers who require access in order to perform their duties for FURWAY, both for running the website and managing the organization. We do not share or disclose this data with third parties beyond the necessary scope of running the website and organization.
Badge submission data is used solely to produce your physical event badge. It is accessible only to volunteers responsible for badge production.
3. Use of Local Storage for Checklist
Our website includes a Checklist feature that allows users to track and update their tasks. To ensure this functionality, the Checklist data is stored in your browser's local storage. This storage is essential for the Checklist to function correctly and is never stored with us, nor shared with third parties.
4. Third-Party Service Providers
We use Resend to handle email forwarding for messages submitted via our Contact Us form. Resend acts as a data processor, handling the secure transmission of emails. For more information on how Resend processes data, please review their Privacy Policy. Resend enforces HTTPS for all API requests to ensure data security and complies with regulations such as GDPR.
Badge submission metadata (nickname, volunteer-team, languages, badge design from ticket type, image filename, submission timestamp, and order reference ID) is stored on our behalf by Google LLC via Google Sheets. Badge images are stored on our own servers and are not shared with any third-party service.
5. Data Retention
We retain emails indefinitely unless you request deletion. You may contact us at any time to request that we delete your data.
Badge submission data (metadata and uploaded images) is retained for the current event cycle and deleted at the latest when the next event cycle begins, or upon request.
6. User Rights
Under GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of any incorrect data
- Request deletion of your personal data
